Wedding Packages

(Full Wedding Planning and Coordination)
Eight (8) Pre-Wedding Meetings to discuss and/or create:
- Budget
- Identify ceremony and reception venue
- Identify wedding date
- Attend three site visits with Bride and Groom to decide if site will fit into their expectations and budget
- Call and interview potential wedding vendor
- Assist with negotiating ceremony and reception contracts
- Assist with negotiating vendor contracts (DJ, photographer, videographer, florist, etc.)
- Recommendation of vendors (if necessary)
- Make recommendations for wedding theme and/or color schemeCreate a planning timeline and deadlines
- “Day of” wedding party itinerary
- DJ Itinerary
- Bride, Groom and Family’s expectations and wishes
- Development of ceremony and reception timelines
- Develop a checklist of deliverables (Bride to Coordinator, Vendor to Bride)
- Layout/Diagrams of Ceremony and Reception sites
- At least one meeting to be held at the reception site with site manager
One Reception and Ceremony Site Visit
- To include site managers (if possible)
Full Ceremony Coordination
- Determine ceremony order (processional, ceremony wedding party order, recessional)
- Manage ceremony rehearsal
- Provide instructions to ushers and guest book attendants
- Set-up of key items at ceremony (individual décor, aisle runner, guest book, gift table, candles, special cultural items, etc.)
- Cue bridal party, parents, bride and groom entrances
- Work closely with the DJ or musician to ensure correct music is played
Full Reception Coordination
- Placing final phone calls to all vendors one week before wedding to confirm orders and delivery or set-up time
- Managing all vendors during set-up to ensure all services and products are provided according to agreements
- Ensure vendors arrive on time and at appropriate locations
- Set-up of key items (photo signing board, gift table, cake table décor, table cards, table assignment diagram, etc.)
- Coordinate final payment of vendors
- Ensure all guest are properly seated (if assigned seating)
- Cue bridal party, family, Bride and Groom for grand entrance
- Work closely with DJ or Band, Bride and Groom, Bridal Party and Family to ensure all formalities are occurring on time and as planned (First Dance, Father-Daughter Dance, mother-Son Dance, Cake Cutting, Bouquet toss, Garter toss)
- Assist with tear-down of items belonging to Bride and Groom from reception. Package items and return them to appropriate contact person.
- Assist with packing of gifts into designated vehicle.
